Event Conditions and Regulations
Stand Spaces , Passes, and Goods
Stand Positions will be allocated by the Organisers after the closing date. All spaces and exhibitor passes must booked and paid for in advance. All exhibitors will receive a package including their stand numbers, exhibitor passes and final instructions 2 weeks before the event. All displays, vehicles, awnings, towbars etc. must fit within the stand space(s) booked. Spaces may not be sub-let or allocated to other persons without knowledge of The Association of Friends of Brooklands. No refunds are possible after July 1st 2006. Lost passes are the responsibility of exhibitors and must be repurchased. Only goods related to the event may be sold. Any goods deemed by the organiser to be out with the theme or spirit of the event must not be sold. Sales of food and beverage is not permitted. No raffle or lottery tickets or the like may be sold. Any and all transactions, agreement and arrangements between exhibitors and purchasers cast no responsibility on the organisers, Brooklands museum or any related parties/ individuals.
Liability
Exhibitors are responsible for any and all damage or injury to persons or property occasioned by any of the exhibitors or stands or appliances or any act or omission by them or their staff or contractors. Neither the organisers nor Brooklands Museum is responsible for the security of goods being displayed or offered for sale, prior to, during or after the event.
Speed Limit
No Vehicles are permitted to move under their own power on the Brooklands site between 9am and 5pm on July 23rd. Outside of these hours vehicles must observe a strict speed limit of five miles per hour.
Generators/ Electrical Equipment / Gas Power
Only silent electrical generators are permitted on the day. Any electrical equipment being used must be tested/ certified to the appropriate standards and should carry a current PAT testing label. All electrical leads must be fitted with 16amp plugs. All exhibitors must adhere to the regulations governing the use of liquid gas cylinders, generators and electrical supplies. All exhibitors must adhere to document No.HO129 “Using Calor Gas Safely”, as published by Calor Gas Limited. No cooking with open flames is permitted including but not exclusive to the use of barbeques.
Arrival, Setup and Departure
Exhibitors are welcome to arrive and setup from between 5pm and 10pm on July 22nd and from between 7am and 10am on July 23rd. All stands must be set up and ready to exhibit by 10am on July 23rd. All vehicles to be sold in the paddock selling area must be on site and ready to exhibit by 10am July 23rd. Sales Vehicles may be started in the paddock but may only leave the event one time on the day not to return. Departure of sales vehicles must be escorted by a member of the organisation if leaving before 5pm.
Overnight Camping
Camping is only permitted the night of July 22nd and only in within an exhibitor’s designated space(s). No camping is permitted on other areas of the Brooklands site or adjacent car park areas.
Exhibitor’s Barbeque
On the evening of July 22nd from 7pm there will be a complimentary barbeque with the possibility to purchase beer. In order to take part in the barbeque you must show your exhibitor pass.
Welcome Tea
From 7am to 9am on July 23rd there will be complimentary Tea, Coffee and Pastry for all exhibitors. In order to claim your pastry and beverage you must show your exhibitor pass.
Rubbish
Rubbish Bins will be provided around the site and must be used to deposit all litter. This does not include any hazardous materials including but not exclusive to: Vehicle Parts, oils or oil affected materials, oil filters, brake fluids, ferrous metals, non-ferrous metals, engine parts of any kind, engine fluids of any kind, batteries, tyres, potentially
radioactive items (eg aircraft instruments), rubber parts, coolant fluids, chemicals, or any related items.
Hazardous Materials
The following hazardous materials should not be brought onto the site:
- RADIOACTIVE SUBSTANCES, Because of the legislation relating to radioactive substances (Ionising Radiation Regulations 1999 and Radioactive Substances Act 1993), the museum is unable to accept items onto its site for sale or otherwise - such as old aircraft instruments - that may be radioactive or emit radiation. The HSE and the Environment Agency will hold the event organisers responsible for any failure to comply with the above.
- ASBESTOS, Items incorporating asbestos in their construction are also controlled by recent HSE legislation.
- EXPLOSIVES, Under the explosives act 1875 it is illegal to sell Flares from temporary stands as they cannot be registered. The release of fireworks, flares or the like is strictly forbidden.
